Workplace Resource has an outstanding opportunity for an experienced Front Desk Administrative Assistant in our San Antonio office.

Front Desk Administrative Assistant is the leading customer service position in the showroom, acting as the first point of contact for our clients, setting the tone for their visit and creating an atmosphere that is welcoming. The position will also be responsible for providing administrative support to the customer service and sales team and directing minor facility and office equipment maintenance.

Essential Functions include:
  • Greeting guests, answering phones and taking messages.
  • Provide support to our Customer Service and Accounting team by assisting them with administrative tasks as needed to include checking acknowledgements, filing, archiving, etc.
  • Assist Sales in the creation of bid proposal packages.
  • Manage receipt and delivery and distribution of daily mail.
  • On a daily basis, monitor and maintain the showroom, conference room, kitchen and restrooms to ensure they are presentable.
  • Assist in event coordination, specifically arranging meals.
  • Order, maintain and organize supplies and forms for office/showroom and kitchen.
  • Update & upkeep of our Resource Library/Marketing Materials to include ordering supplies, keeping it organized and coordinating with vendor reps to keep library stocked.
  • Coordinate maintenance of office equipment (i.e. Toner, copier meter reading, service calls, etc.)
  • Assist Operations Manager in maintenance of the facility
  • Perform additional responsibilities as required.
Minimum Requirements:
  • High School Diploma required
  • One to two years of administrative experience
  • Excellent written and verbal communication skills
  • Basic knowledge of Microsoft Office Suite (Word, Microsoft Excel, Power Point.)
  • Must have strong attention to detail and the ability to work independently
  • Basic knowledge of furniture specification terms is a plus
  • Excellent interpersonal/relationship building skills and outgoing, energetic personality.
  • Excellent organizational, problem-solving and follow-up skills.
  • Demonstrate ability to manage multiple tasks and projects with rapidly changing priorities.
